Import from HubSpot or Pipedrive
1. Where to start
Imports are for the workspace owner and admins. Open Administration, then Data and import, then Import a spreadsheet. At the top of the screen, under Where is your data coming from?, choose From HubSpot or From Pipedrive.
The screen then shows how to export from that tool and asks for three CSV files: organizations, people and deals. HubSpot calls them companies, contacts and deals. Activities and notes are not imported yet.
2. Export from HubSpot
- In HubSpot, open Companies, then Contacts, then Deals, and choose the All view of each.
- Click Export, choose CSV as the file format, and keep the column headers in English.
- Under Customize, choose all properties and associations, so each deal keeps its company and contact.
- HubSpot emails you a download link for each file. Download the three files.
HubSpot's contacts file has a first name and a last name column. The screen joins them into one full name before the file is uploaded.
3. Export from Pipedrive
- In Pipedrive, open the account menu and go to Tools and apps, then Export data. Only a global admin can do this.
- Export Organizations, People and Deals one at a time, each as CSV.
- Download each file from Generated exports. Pipedrive keeps them for 28 days.
4. Choose the three files
- Choose each file in its place: the organizations (or companies) file first, then the people (or contacts) file, then the deals file.
- Check What separates the cells. Both tools use commas.
- For each file, the screen says how many columns it matched for you. If a file is not that tool's export of that kind of record, or is not saved as UTF-8, the screen says so. Choose the right file, or export it again as CSV.
5. Before you import
Before anything is written, Before you import compares your files with each other:
- Companies and contacts your deals name, and companies your people name, that are not in your files. When a file is imported, each company or contact it names must already be in your workspace, or be settled in the columns step. An import never creates a missing one for you.
- Email addresses that appear on more than one person, and company names that appear more than once. Keep one row per address and one row per company name in the file, because a repeated address keeps the first row and reports each later one as a duplicate that was not imported, and a deal naming a repeated company will not find it.
This list never stops you. It only reads the files you chose, not your workspace.
6. Import each file in order
Press the upload button for the file shown, one file at a time: organizations first, then people, then deals. Each upload opens as its own import, with Uploaded. Open this import to reach it.
Each file then goes through the usual import steps: the columns are already matched, owners are matched to colleagues by email address, and you check and confirm before any record is created. An owner the screen could not match by email is left for you to choose. A name is never used to match an owner.
7. Importing the same files again
A person whose email, or a company whose domain, is already in your workspace is skipped, so importing the same files again does not make a second copy. Nothing in a skipped record is changed. Names are never matched.
A people file starts matched on email, and an organizations file on domain. You can change this, or turn it off, under Match existing records by in the columns step. Choose Don't match: every row creates a new record to create every row. A deals file starts unmatched. To match deals, keep the tool's deal id in a custom text field you have added, and choose that field.
8. Take an import back
Each file is its own import and its own undo. Undoing the deals leaves the people and companies.
To undo one, open Import from a file, open the import under Imports in this workspace and press the button that removes them, such as “Remove 3 records from the CRM”, under Undo this import. History shows each batch of an import as one entry, such as “Created 3 contacts”, and sends you to the import's own page to undo it.
